Strand 1.2.2 –Literary translation projects

How to receive your payment

Final Report and Final Payment

In order to receive your final payment, please send your final report at the latest 2 months after the end of the eligibility period of your translation project. The deadline is indicated in your Grant Agreement or Decision.

Content of the final report:
The final report consists of the following documents:

  • Final Technical Report (as attached to your Grant Agreement or Decision)
    See templates below;
  • Final Financial Accounts (budget form attached to your Grant Agreement Decision)
    See templates below. Please make sure you fill in the correct template (poetry and/or non-poetry);
  • Translated books as published with the EU logo and accompanying sentence
    (see Practical Guidelines);
  • Proofs of payment that the translators have been paid, either by providing:

    • bank statements (the name of the translator has to appear on it)
    • or

    • declarations of the translators stating that they have received the amount in question for the translation of the book in question, accompanied by a signed copy of the translators' identity cards.

Templates to be used:

1. Non-poetry

  • Final Technical Report (non-poetry) en Word
    The Final Report shall give a precise account of the project activities.
    Please use the template provided and fill in one report per book translated.

For statistical purposes, please detail under "other", any activity related to the promotion of the book. For each of these activities, please indicate the specific amount concerned.

  • Final Financial Accounts (non-poetry) en Excel
    Please use the template provided:  enter the number of numbered pages of the published translations, and pick-up the correct flat rate in the drop-down list. The list of flat rates/Code per language is attached to your Grant Agreement/Decision.

2. Poetry

  • Final Technical Report (poetry) en Word
    The Final Report shall give a precise account of the project activities.

For statistical purposes, please provide us with details on all promotional activities and costs, which are not included under the 'marketing' heading of the Final Report.
Please indicate these specific activities and costs on the additional sheet which is posted on our website. en Word

Please use the template provided and fill in one report per book translated.

  • Final Financial Accounts (poetry) en Excel

    Please use the template provided and fill in all columns. You should enter the translation and publication costs both in Euros and in the national currency (should you be located outside the euro-zone), always using the exchange rate referred to in 'practical guidelines'.  The 50% barrier of the total operational costs for each book and other formulas for obtaining the authorized maximum grant will apply automatically.
     However, please do check in your grant contract (article 3.3. or 3.4. or I.3) the maximum percentage of the total eligible costs which constitute the limit to be applied in your case, and confront it to the percentage that you obtain automatically in the template excel sheet to check if such percentage remains within the acceptable range (we should otherwise cut down the grant).

3. Mixed project (poetry + non-poetry)

  • Final Technical Report
    The Final Technical Report shall give a precise account of the translation project activities.
    Part A - "poetry" en Word
    Please use the template provided and fill in one report per book translated.

    For statistical purposes, please provide us with details on all promotional activities and costs, which are not included under the 'marketing' heading of the Final Report.  Please indicate these specific activities and costs on the additional sheet which is posted on our website. en Word

    Part B - "non-poetry" en Word
    Please use the template provided and fill in one report per book translated.

    For statistical purposes, please detail under "other", any activity related to the promotion of the book. For each of these activities, please indicate the specific amount concerned.

  • Final Financial Accounts (poetry + non-poetry) en Excel
    Please fill in all sheets of the excel workbook provided, both for flat rate works (non-poetry) and for the budget-based works (poetry). Do not forget to check that the totals for poetry and non-poetry match the "global accounts" in the same excel workbook.
